SHINE 2024 Student Newsletter #2

We hope that you are all doing well!

By this point, you should have received information about whether you received funding from NSF to attend SHINE. In preparation for this year’s conference, we would like to cover a few aspects of the conference preparations:

Registration

Registration is now open! Registration will be capped at 350 participants, so make sure to register ASAP! Early bird registration closes on July 14, 2024. After early bird registration closes, the registration fee goes up by $50. All registration ends on July 26, 2024.

To register:

  1. Visit the Code of Conduct page
  2. Read everything
  3. Fill out the form with your name and email and agreement to the Code of Conduct. 
  4. You will receive a link in the success message at the bottom of the page and sent to you via email to register in University of New Hampshire’s Destiny One system.
    • Destiny One is separate from the SHINE website, so you will need to use the username and password you created last year or create a new username and password. 
  5. You register through the Density One portal.
    • If you received funding from NSF, use the code given in your acceptance email in the Density One portal. 
    • If you did not receive funding from NSF, your advisor needs to pay for it.

NOTE: If you received financial support, you still need to register, but your registration fee is covered. Use the code provided to you in your acceptance email when checking out. If you received financial support but accidentally paid your registration fee, please contact the student reps ASAP.

Flights

Flights in and out of Juneau are difficult. 

If you received NSF funding DO NOT book your own flights. Contact the people referenced in your acceptance email. You must do this by May 31, 2024!

If you did not receive funding, begin looking for flights as soon as you can. NOTE: one of the few departing options from Juneau is Friday around 1:00 pm. Although the conference will still officially be happening, we project many attendees will be taking this flight. Consequently, we anticipate the Friday afternoon conference schedule to be rather light.

Lodging

If you received NSF funding, DO NOT book any hotels. SHINE will set those up.

If you did not receive NSF funding, there is a list of hotels pro-rated for SHINE on the homepage of the website. Note that the conference center is Downtown. The latest date to book most of the hotels with the SHINE rate is Jul 10, 2024. The Super8 is May 31, 2024 and the Driftwood Lodge is July 9, 2024.

Transportation

The SHINE SOC is working on setting up transportation to/from the airport and between the hotel and the conference center. These will likely be shuttles. The shuttles between the hotel and the conference center are tentatively planned to be run throughout the day each day of the conference.

Please note that Ubers, Lyfts, and Taxis are not readily available in Juneau.

Student Day

If you received funding you are REQUIRED to attend Student Day. If you did not receive funding and want to come to Student Day (it’ll be super fun), please contact us (unfunded students must contact us in advance so we can have a headcount for meals)!

We are still working on the schedule for Student Day. 

This year, we are revamping Student Tutorial Talks into Student Tutorial Posters. We hope that by creating posters, we will be able to mirror the SHINE workshop poster-centric atmosphere and cover more tutorial topics. We are looking for volunteers to make a poster on a general SHINE-related topic (ex. reconnection). On Student Day, we will ask that you give a lightning talk on your poster. We also aim to keep the posters up throughout the week so all students (and senior scientists) can reference them as desired. If you are interested, sign up here!

We also are thinking about doing a “SHINE-like” session to prepare everyone for what SHINE is going to be like. 

Abstracts/Posters

The abstract submission form is still TBD.

If you are funded by NSF, you are required to present a poster at SHINE! On Student Day, we are going to have a student-only poster session in the afternoon. If you are a non-funded student who cannot make all of Student Day due to travel, but would still like to participate in the student-only poster session in the afternoon, please let us know! The submission is still TBD.

This year we are not doing a poster contest. But we are emphasizing everyone to give constructive feedback in real-time. Additionally, we will have an anonymous form for any/all SHINE attendees to submit poster feedback; we will send this feedback to you after the workshop.

Communication

If you haven’t joined the Discord channel yet, please use the following link to join: https://discord.gg/Kxmy9zzak9. We will post some sporadic reminders in the Discord channel but will continue to use the newsletter for all official correspondences, so if you do not wish to join the Discord channel, you will not miss anything.
