SHINE 2023 Student Information

Hello from your SHINE Student Representatives,

We hope your summers have been going well. We wanted to send an update regarding this year’s SHINE workshop in Stowe, VT from August 7-11 (Student Day August 6). In preparation for the workshop and Student Day, we have a few things to share with you:

  1. Student Day
    1. Student Day will be Sunday, August 6 and will run from 9:00 am – 6:30 pm, with Student Night occurring in the evening (don’t worry, we have scheduled plenty of breaks).
    2. If you received funding, you are required to attend Student Day, so please plan your travel accordingly. If you did not receive funding, you are welcome to attend Student Day; please simply email us at shine.student.reps@gmail.com to let us know. Please email us no later than Friday, July 28 so that we may get a correct head count prior to Student Day.
    3. We are looking for volunteers to give tutorial talks on Student Day. Fill out this form if you are interested: https://forms.gle/QwYfxiSfviy7hKwR8.

    4. One of our events on Student Day will be a career panel of postdocs and senior scientists from various careers. If you have any questions you’d like to submit in advance to ask the panel, please submit them here: https://forms.gle/jd36APh8NjStyFTL8

  2. Student Communication
    1. We will continue to send emails leading up to Student Day, but in addition, we will be using a Discord server to communicate during the week of the workshop. We hope this server can be a good way for the students to connect. We will not actively be using this server until the workshop, but if you’d like to join the server now, please follow this link: https://discord.gg/cJ5M7rHA
  3. Airport Transportation
    1. Shuttles will be available for transportation to/from the airport through AA Transportation.
    2. Christine Schulz is currently working to put together a list of students requiring shuttle transportation to organize them into shuttle groups. If you have not done so already, email Christine if you wish to use the shuttle service at christine.schulz@sweri.org.  
    3. Please note that you are responsible for shuttle payment. You can claim reimbursement to your institution to be charged to your advisor.
  4. Student Posters & Contest
    1. All posters must be 4’x4’ or smaller. You may either print out your poster or bring 8.5”x11” pages to assemble your poster at the workshop. We do recommend printing your poster in advance of the workshop and bringing it with you.
    2. On Student Day, we will have a student-only poster session to give everyone the chance to set up and practice their posters in a stress-free environment.
    3. We will be holding a student poster contest this year that will run a little differently than in years past.
      1. You will be assigned a day (Monday or Tuesday) to present your poster during the conference. During this day, you will not have one specific poster contest judge, but rather anyone coming to your poster will have the opportunity to recommend your poster for excellence in the poster contest.
      2. We will tally the excellence recommendations, and if you are in the top 10 recommendations, we will contact you to present your poster to our final judges on Thursday. 
      3. We recommend everyone give constructive comments directly to students after they present their posters. The poster sessions are not only opportunities to show others your research, but a great opportunity to receive feedback. If you are comfortable, ask people who come to your poster to give you some feedback on your presentation.
  5. Lodging
    1. If you received funding, you should’ve received your room assignment from Umbe a few weeks ago. If you did not, please let us and Umbe know as soon as possible at shine.student.reps@gmail.com and olivevents@comcast.net.
    2. If you did not receive funding but are attending Student Day, you will need to get an extra night of lodging (August 5-6). If you have any trouble booking this with the lodge in Stowe, again, please contact us and Umbe at shine.student.reps@gmail.com and olivevents@comcast.net.

We are also working hard to organize a social event on Wednesday afternoon. We’ll send out an email in advance of the workshop once we get an event scheduled, but we encourage you to use the Discord server to communicate any other group plans throughout the week you are willing to have other students join! Stowe has lots of great summer activities to offer, so keep an eye out for upcoming information on this so that you don’t miss out. We look forward to seeing all of you at SHINE 2023 in Stowe, VT!
